# Order Review and Red Flags

> The warning signs that turn clean quotes into expensive remakes — and the final approval checklist every rep uses before submitting.

# Order Review and Red Flags

<Warning>
  Most preventable door order errors fall into five categories: measurement confusion, handing errors, configuration assumptions, missing spec details, and undisclosed site conditions. This page is your last line of defense before an order becomes a problem.

Every door order should pass a final review before submission. This page catalogs the specific red flags that cause the most remakes, returns, and install disputes at YourNewDoor.com — and what to do when you spot one.

## The Red Flag Categories

        **The problem:** Customer gave one width and one height, taken from memory or a single measurement point.

        **Why it matters:** Openings are rarely perfectly consistent. A single measurement taken at one point may not represent the smallest dimension, which is what actually determines fit.

        **What to do:** Request measurements at three width points and two height points. If the customer cannot re-measure, note the risk explicitly on the quote and get written acknowledgment.

        **The problem:** Customer provided a slab size (e.g., 36" x 80") but the order is for a prehung unit.

        **Why it matters:** The prehung unit is larger than the slab. The rough opening required for a 36" slab is approximately 38" x 82". If the RO is only sized for the slab, the unit will not fit.

        **What to do:** Confirm the rough opening separately. Do not convert slab size to unit size manually without RO verification.

        **The problem:** Total width recorded as the active door slab only, when the unit also includes sidelites or a paired door.

        **Why it matters:** The ordered unit will be undersized for the actual opening.

        **What to do:** Always ask about adjacent fixed panels before recording a width. If sidelites are present, measure each panel individually and confirm total configuration width.

        **The problem:** Jamb depth was left at a default value or not confirmed.

        **Why it matters:** A jamb that is too shallow leaves a gap at the drywall. A jamb that is too deep projects beyond the wall. Both create costly field corrections.

        **What to do:** Capture wall thickness directly. For standard 2x4 construction, 4-9/16" is common. For 2x6, 5-1/4". Always verify rather than assume.

        **The problem:** Handing was assumed from a photo or from a customer's description without direct verbal confirmation.

        **Why it matters:** A wrong-hand door cannot be corrected in the field. It must be remade.

        **What to do:** Always state the handing code out loud and have the customer or installer confirm it. "This order is for a Right Hand Inswing — can you confirm that?" Do not proceed until confirmed.

        **The problem:** Handing was noted as LH or RH without specifying inswing or outswing.

        **Why it matters:** LH inswing and LH outswing are completely different units. The threshold, weatherstripping placement, and frame design differ.

        **What to do:** Always record the full four-part handing code: LH, RH, LHR, or RHR. Never record partial handing.

        **The problem:** Double door order submitted without specifying which panel is the active (operating) panel.

        **Why it matters:** Hardware prep, astragal placement, and handing reference are all built to the active panel. If the active panel is wrong, the unit is wrong.

        **What to do:** Always note active panel left or active panel right on every double door order.

        **The problem:** Bore prep noted as "standard" without confirming single bore, double bore, or backset.

        **Why it matters:** If hardware is purchased separately and the backset does not match, the lock will not seat properly in the door.

        **What to do:** Confirm single or double bore and 2-3/8" or 2-3/4" backset on every order.

        **The problem:** Glass listed as "clear" or "decorative" on an exterior door without confirming IGU (insulated glass unit) requirement.

        **Why it matters:** Single-pane glass on an exterior door fails energy codes and causes condensation, fogging, and thermal complaints.

        **What to do:** All glass in exterior door slabs must be IGU unless explicitly confirmed otherwise with a valid reason.

        **The problem:** Hardware or hinge finish recorded as "TBD" or left blank.

        **Why it matters:** Mismatched finishes on a delivered unit generate rework and customer dissatisfaction.

        **What to do:** Confirm finish before submitting. If the customer is undecided, note that as a pending item and do not submit until resolved.

        **The problem:** Diagonal measurements differ, indicating the opening is not plumb and square.

        **Why it matters:** A unit installed in an out-of-square opening will have gaps, binding, and operation issues regardless of product quality.

        **What to do:** Note the out-of-square condition in the quote. Advise the installer that shimming and blocking will be required. Document that this condition was disclosed.

        **The problem:** Slab-only order placed without confirming the existing frame is square, intact, and compatible with the replacement slab.

        **Why it matters:** A slab that fits the nominal size but not the specific frame will have hinge, bore, or clearance problems.

        **What to do:** Always ask the customer to confirm frame condition for slab-only orders. If the frame is damaged or unknown, recommend prehung instead.

        **The problem:** Exterior door ordered without specifying threshold type or verifying floor-level conditions.

        **Why it matters:** The wrong threshold height can create a trip hazard, a gap under the door, or a door that drags on the flooring.

        **What to do:** Confirm floor finish level at the sill, threshold height, and whether an ADA-compliant threshold is required.

## What a Clean Order Looks Like

  A clean order has: verified RO dimensions, confirmed handing with swing direction, full product spec including material/glass/hardware/finish, jamb depth, confirmed threshold, and all install conditions noted. If any of those are missing or assumed, it is not a clean order.
